How to Use a Fingerprint Attendance Machine: Enrolment, Backup Methods and Common Faults

How to use a fingerprint attendance machine: enrol staff, set backup methods, fix common read faults and connect records to payroll. A practical UAE guide.

How do you use a fingerprint attendance machine? Each employee is first enrolled: their finger is scanned several times and stored as a template linked to their name or ID. After that, they clock in and out by placing the same finger on the sensor, and the terminal records the time. Good results depend on three things: careful enrolment (more than one finger per person), a backup method such as a PIN or card for the days a finger will not read, and a routine for collecting the punches into reports.

This guide covers setup, enrolment, backup methods, daily use and common faults.

Fingerprint Attendance Machine Setup: The Basic Steps

Whichever model you buy, this order avoids most problems later.

StepWhat happensWho usually does it
1. Choose the mounting spotNear the entrance, at a comfortable hand height, away from direct sun and heavy dustInstaller, with your approval
2. Power and networkFix the terminal, connect power and connect it to your network if you want software reportsInstaller
3. Set date, time and rulesCorrect time zone, work-day rules and punch-in or punch-out settingsInstaller or admin
4. Add employeesCreate each person with a name and a unique ID that matches your payroll recordsAdmin
5. Enrol fingersScan each person's fingers at the terminalAdmin, with each employee
6. Test and trainEveryone clocks in once, and the admin practises corrections and reportsInstaller and admin
7. Connect softwareCollect punches into daily and monthly reportsAdmin

Setup details differ by terminal model, so use the instructions for your exact device and ask your installer to confirm each setting. Our fingerprint attendance machine package covers installation, configuration, basic software setup, enrolment and training, so these steps are completed on site.

How to Enrol Fingerprints Properly

Enrolment is where most read problems are created or avoided. A poor first scan will cause rejected punches for months.

  1. Use a clean, dry finger. Wipe the sensor and ask the employee to wash and dry their hands if they are damp or greasy.
  2. Choose a finger that is easy to read. The index or middle finger of each hand is usually comfortable. Avoid a finger with a cut, a plaster or heavily worn skin.
  3. Place the finger flat and centred. Press naturally, not hard, and cover most of the sensor window. Lift and place again for each scan, as the terminal prompts.
  4. Enrol at least two fingers, ideally one on each hand. If one finger is injured, the other still works.
  5. Test straight away. Ask the employee to verify the finger before they leave the terminal. Re-enrol at once if it fails.
  6. Match the employee ID to your payroll or HR list so punches reach the right person.

Fingerprints are personal biometric data. Tell staff what is collected and why, limit who can open the employee list, and ask your legal adviser about current UAE data protection requirements.

Backup Methods When a Fingerprint Will Not Read

Even a well-enrolled finger sometimes fails: a cut, a wet hand or a bandage. Without a backup method, the employee is stuck at the door.

Many ZKTeco terminals can also accept a PIN or password, and some accept a card. The options depend on the model, so confirm them in your quotation. Common ways to use them:

  • PIN as a fallback: the employee types their ID and PIN when the finger is not read.
  • Card as a fallback: useful for staff who often have damp or dirty hands.
  • Manager correction: where no backup is available, the admin adds a missing punch in the software with a note, so there is a record of the change.

A backup method weakens the proof of presence slightly, because a PIN or card can be shared. If preventing one employee clocking in for another is your main goal, keep the fallback for exceptions and review it in your reports. Our guide on biometric vs RFID vs face recognition attendance explains the trade-offs.

Common Fingerprint Machine Faults and What Usually Fixes Them

SymptomLikely causeWhat to try
Finger is rejected oftenDirty or scratched sensor, dry skin, or a weak first enrolmentClean the sensor with a soft dry cloth, moisturise dry hands, re-enrol the finger
Works for some staff, not othersWorn fingertips or a finger enrolled at a different angleEnrol a second finger and re-enrol with the finger placed flat
Works in the morning, fails at the end of a shiftDust, oil, sweat or moisture on the handsAdd a hand-cleaning routine, or add a PIN or card backup
Wrong time on reportsDate, time or time zone set incorrectlyCorrect the terminal clock and check the time setting in the software
Punches not appearing in the softwareNetwork, cable or settings problem between terminal and PCCheck the connection and the device address, then ask your installer

If a fault repeats after these checks, stop re-enrolling the same people and have a technician look at the terminal and the mounting position.

Daily Use: A Routine That Keeps Records Clean

Records only stay reliable if someone looks at them. A light routine is enough:

  • Daily: wipe the sensor, and check for missing or doubled punches.
  • Monthly: export the report, close the period and back up the data before payroll.
  • When staff join or leave: add new employees promptly and remove leavers from the device.

Connecting the Machine to Payroll and Leave

The terminal only captures punches. Hours worked, overtime, shifts and leave come from software that reads those punches. If you manage payroll, leave or shift rosters, connect the terminal to attendance software such as HRX360, so a month-end report is produced from the same data instead of re-typed from a spreadsheet. We explain the options in our guide to attendance machine payroll integration.

Is a Fingerprint Machine Right for Your Workplace?

Fingerprint terminals suit offices, shops, clinics and similar sites where hands are generally clean and dry. If your staff work with dust, oil, cement or water all day, readings will be less consistent, and face recognition attendance or a card option may suit better. We check the site and the type of work before recommending a model.

Our fingerprint package starts from AED 999 + VAT, including a ZKTeco terminal, installation and configuration, basic software setup, employee enrolment and training. Installation only starts from AED 400.

Frequently Asked Questions

How do I register a fingerprint on an attendance machine?

An admin opens the enrolment function on the terminal or in the software, creates the employee with a unique ID, then asks the employee to place the chosen finger on the sensor several times as the terminal prompts. Verify the finger once before the employee leaves. The exact menu names vary by model.

Which finger should employees enrol?

Use the index or middle finger, as these are comfortable and usually read well. Enrol at least two fingers, preferably one on each hand, so there is a spare if one is cut or covered.

Why does the machine say my fingerprint is not recognised?

Common causes are a dirty sensor, dry or damp skin, a finger placed at a different angle from enrolment, or worn fingertips. Clean the sensor, place the finger flat and centred, and re-enrol if it keeps failing.

What if an employee cannot use their fingerprint?

Use a backup method, such as a PIN or card, if your terminal supports one. Otherwise the admin can add a missing punch in the software with a note explaining why.

Can one employee clock in for another with a fingerprint machine?

It is difficult, because the registered finger has to be present. A shared PIN or card backup can weaken that protection, so use backups for exceptions and review the reports.

Can the machine store fingerprints for many employees?

Terminals have different storage limits depending on the model. Tell us your headcount and we will confirm that the proposed model suits it before you buy.

Does a fingerprint machine connect to payroll?

The terminal records punches only. Attendance software turns them into reports, and payroll can use those reports. HRX360 can be connected for shifts, leave and payroll, and compatibility depends on the device and the software you choose.

Is storing employee fingerprints allowed in the UAE?

Rules on biometric and personal data can change, and your obligations depend on your business. Check with MOHRE or your legal adviser, and tell employees what is collected and why.
